INSTRUCTION COURSE (IC) GUIDELINES:

1. Total duration of Instruction course is 55 minutes. The chief instructors must ensure that the session finishes exactly on time & does not spill over to the change over time / next session.

2. Instruction courses dealing with clinical sciences should deliver current and evidence-based information

3. Courses with formats utilizing innovative teaching styles are particularly encouraged. Interactive dialogues and panel discussions are educational methods that stimulate additional interest and promote learning.

4. Controversial or unproven concepts, may be more appropriately presented as free papers or Posters

How many IC’s can an instructor participate?

1. Chief instructor MUST be a ratified member of TNOA

2. As a chief instructor, a ratified member can submit ONE INSTRUCTION COURSE ONLY.

3. All Co-Instructors have to be members of TNOA and – Can provide consent only for three instruction courses – Can participate in a maximum of two instruction courses as co instructor

What happens if more than 2 courses get selected?

1. It is the discretion of the co-instructor to choose the courses he/she wants to participate.

2. If the co-instructor does not choose the preferred 2 courses, then the first 2 accepted courses (in the order of consent provided) shall be treated as the chosen courses by the co-instructor and the rest shall be considered
as not selected.

3. The chief-instructor is responsible to find an alternate co-instructor WITHIN 7 DAYS from the date of announcement of selected instruction course, if the chief instructor is unable to find a suitable new co instructor, he/she
can allocate the topic to himself or a co instructor who is already part of the IC.

4. If the chosen co-instructor withdraws from the instruction course, the chief instructor should communicate the Name , TNOA Membership no, Mobile No, Email Id of the Alternate Co-instructor to
scientificchairman2022@gmail.com with copy marked to support@tnoa.info

How many Co-instructors can be added?

An Instruction course can contain maximum 5 co-instructors (Excluding the Chief Instructor)

Course Title

The title of the course SHOULD NOT exceed 100 characters (including spaces).

Course Outline (Synopsis)

Instruction Course Synopsis SHOULD NOT exceed 1000 characters (including spaces).

Topics for each speaker and time allotted for the topic

Fill Co-Instructors names, topics and time allotted for each topic in the separate box given. These details SHOULD NOT be mentioned in the Synopsis of the course. The topics SHOULD NOT exceed 100 characters (including spaces).

Chief Instructor’s Resume (600 characters only)

Ensure the Chief Instructor’s resume does not exceed 600 characters (including spaces), is prepared with care and is complete. Ensure that the name of Institution, place of work of the instructors are not revealed. The resume
should be so written as not to reveal the identity of the chief instructor or of the Institution – These, If mentioned, may lead to Non-Consideration / Rejection of the Course.

Note:

• If selected, the submitted format of the Instruction Course must be strictly adhered to without any change in topics/timings/speakers.

• The abstract will appear exactly the way it has been submitted and the Scientific Committee will not be responsible for any spelling and grammatical errors.

• IC’s without co instructors consent before May 31st will not be considered for evaluation.

BEST PAPERS TO TNOA JOURNAL FIRST

BEST PAPERS selected from each session should be submitted first to The Editor, TNOA Journal of Ophthalmic Science and Research for possible publication. The authors can submit the selected BEST PAPERS to other journals only if
rejected by TNOA Journal Publication of the article will be decided by the Editor-TNOA-JOSR and this will be within 6 months after submission. If the authors have already submitted it elsewhere for consideration for publication,
they must declare the same. The paper can be presented but will not be considered for “Best paper of the session award.”

Guidelines for E-Posters

An E-Poster is an electronic version of the traditional boards, and is displayed on monitor screens using Power Point slides. E-Poster may include text, figures, tables and images and NO video/animations. Selected E-Poster can
be viewed anytime during the conference. A specific time slot will not be required. A Link to upload E-Posters will be made available and the same will also be uploaded on the website.

GUIDELINES FOR E-POSTERS

• All E-Poster / awards will be given to the presenting author only.

• If presenting author is not a member or not enrolled as a Life Member of the TNOA on (or) before June 30th 2022, that E-Poster will not be considered for any award /poster.

• Institution / hospital affiliation and doctor’s name in the title or abstract should not be mentioned and will lead to automatic rejection

• Scientific abstracts must have at least one TNOA Member as an author or coauthor.

• Title of the Paper (not exceeding 100 characters with space).

• Synopsis (not exceeding 1000 characters with space).

GUIDELINES FOR ELECTRONIC – POSTERS PRESENTATION

E-Posters should consist of a maximum of 12 Microsoft PowerPoint slides, including title slide and offering information on the following topics:

• Introduction

• Material and Methods

• Discussion

• Conclusion

• Use Times New Roman or Arial fonts.

• Use the first slide to show the title of the E-Poster and the authors information.

• Font should be no smaller than 18 points.

• Maximum of 120 words on each slide

• Use a plain background without patterns or dark colours.

• Use clear headings and leave spaces between sections.

• Pictures and graphics should be clearly labelled and described.

• Text should not be obscured by images.

• Remember that simpler posters are always more attractive and easier to read

• Do not fit too much information on one slide

• Correct spelling and punctuation make your poster more attractive and informative.

• E-Posters should contain no video clips/animation files.

• The file should be not more than 5 MB (more than this size, it will be rejected automatically)

Abstract Title

General Guidelines for Presentation

Presentation Standards

• There will be preview room facility.

• All presentations must be handed over at the Preview room at least 3 hours before your scheduled presentation. For forenoon sessions on Day 1, please come by 8 am to load your presentations.

• Appropriate trial runs & checking in the preview room is allowed to avoid any hitch.

• All the speakers are requested to stick to the allotted time.

• Allowance of personal laptops in the podium will be update soon.

Preview Room

• There will be 2 preview rooms to upload your presentations. Location of preview rooms will be updated soon

• The room will be equipped to preview your presentation, modify it, and copy it. Trained individual staff will assist you with any need that you may have regarding your presentation.

• Presentation can be submitted in absentia by your co-author/representative.

The Session Room Environment

• Every hall will have one lectern. Kindly ensure that next speaker is ready with his/her presentation.

• The lecterns are equipped with a laser pointer/ slide changer and laptop.

• Please arrive at the hall at least 15 minutes before the beginning of your session and get familiarized with the stage and lectern setting.

Please meet your Chairperson before the session begins and introduce yourself.

• If you are a Presenting Author in the Free paper session, please inform your TNOA membership no. to the Chairperson. If you are not a TNOA member, kindly inform the Chairperson before your presentation.

• Change of Presenter without the permission of the Chairperson, Scientific Committee well in advance or last minute request for change in Presenting Author at the venue will not be accepted.

• In case a new Co-author is presenting the paper instead of Chief author/Coauthors mentioned earlier, they must submit a signed authorization letter from the Chief author to the Chairperson or Scientific Committee well in
advance.

• DO NOT EXCEED your allotted time for presentation.

• Only TNOA members are eligible for the TNOA Award ( Subject to the conditions of the award).

CERTIFICATES

In pursuit of the ‘Go Green Concept’ of KOVEYE 22, all Certificates of Attendance Dr MGR University 30 Credit Points, Certificate of Participation (Free paper, e-poster, videos and award sessions) Certificate of Appreciation
(Invited speaker, Chair, Judge for special sessions, chief and co-instructors of Instruction Courses, evaluators of free papers, WET LAB trainers, Executive committee members, Volunteers) will all be available in each one’s
Dashboard as e-Certificate after login in website which can be printed. The Scientific Committee will also set up kiosk at registration counter to print certificate of attendance for those who wish to have a hard copy

Guidelines for Awards

TNOA Prof. C.P. Gupta Best Paper Award:

1. Will be awarded to the Best Paper in the Best of the Best Session, herein after called “THE C P GUPTA AWARD SESSION” on the final day

2. The time allotted for each paper is 6 minutes

• Only members of TNOA are eligible to participate.

• He/she (the presenting author) should have enrolled as a Life Member of the TNOA on (or) before 30th June 2022

• He/she (the presenting author) should not have completed 40 years of age before 30th June 2022.

• Acceptance of the paper and the rights to present in the conference will be confirmed subject to verification of proof of age and membership

• Entries in duplicate should reach Chairman, Scientific committee and Secretary TNOA (Online abstract submission link / password to be shared between TNOA office & scientific committee)

• A declaration that this paper has not been presented in any conference earlier in any form (as a paper/ poster/ video) or published in any journal should be given by the participant.

• Violation of the above rule, if proved will attract disqualification of the entry.

• The paper may be the work of either one or a group of persons. If it is that of a group, the first (chief presenting author) should be below 40 years & should be a life member of the TNOA.

The same person may be considered for the award in the subsequent years too even if he / she has won the award earlier, provided a different paper is presented subsequently.

• The Judges shall be

2. The Immediate Past President of his / her Nominee

3. One representative from Endowment or nominee managing committee of TNOA.

TNOA Prof. E.T. Selvam Endowment Quiz Award:

• Prof. E.T. Selvam Endowment Quiz Award for the best team in Ophthalmic Quiz, to be given annually and conducted during the TNOA conference.

• Only post graduate students of ophthalmology studying in Institutions in Tamil Nadu and Pondicherry are allowed to participate. (one team per institution)

• The Name, TNOA number, Name of the Institute, Koveye registration number and e-mail id of the Team Head must be provided.

• Each team will consist of TWO members, representing the Institution and both the team members must be members of TNOA or must have enrolled as Life Members on or before June 30th 2022.

• Candidates should not have appeared for the final year theory exam.

• The decision of the Chairman Scientific Committee will be final.

• For registration, please send the names of the team and College by mail to

TNOA Capt. Subramaniam Best Video Award:

• Video duration is 8 minutes only

• All video awards will be given to the presenting author only.

• If presenting author is not a member or not enrolled as a Life Member of the TNOA on (or) before June 30th 2022 that video will not be considered for any award

• No change in presenting author is allowed during the video final sessions.

• Institution / hospital affiliation and doctor’s name in the title or abstract should not be mentioned and will lead to automatic rejection.

• A declaration that this video has not been presented earlier in any form ( as a paper/ poster/ video ) anywhere should be enclosed.

• Violation of the above rule, if proved will attract disqualification of the entry.

• Video should not exceed 8 minutes duration.

• The Judges shall be

1. The President of TNOA or his/her Nominee

2. The Immediate Past President or his / her Nominee

3. One representative from Endowment committee or nominee managing committee of TNOA

• Videos will be judged according to educational value, originality, and expert use of the medium

• Videos selected for the award session will be screened during the TNOA Capt.Subramaniam Best Video Award session

• Kiosks (touch screens) / Play stations will be arranged, where all the other videos will be loaded and the delegates can come and watch the same at their convenience throughout the duration of the Conference so that this will
give maximum exposure of all the selected videos.

• No VIDEOS will be returned. Hence keep a copy for your record and send. Don’t send the original

TNOA Coimbatore Ophthalmic Association Best Poster Award:

• Only members of TNOA are eligible to participate.

• He/she should have enrolled as a Life Member of the TNOA on (or) before 30th June 2022.

• Proof of membership of TNOA should be sent along with the abstract of the poster entered for the competition.

• A declaration that this poster has not been presented in any conference earlier in any form( As a paper/ poster/ video)should be given by the participant.

• Violation of the above rule, if proved will attract disqualification of the entry.

• The poster may be the work of either one or a group of persons.

• The same person may be considered for the award in the subsequent years too even if he / she has won the award earlier, provided a different poster is presented subsequently

• The Judges shall be

TNOA TOPS Award for the Best Free Paper in Retina & TNOA Dr. MN Award for the Best Free Paper in Cataract Session:

• Only Members of TNOA are eligible to participate

• He / She should have enrolled as a Life Member of the TNOA on or before 30th June 2022.

Proof of Membership of TNOA should be sent along with the abstract and text of the paper entered for the competition.

• A declaration that this paper has not been presented in any conference earlier in any form ( As a paper/ poster/ video ) should be given by the participant.

• Violation of the above rule, if proved will attract disqualification of the entry.

• The paper may be the work of either one or a group of persons.

• The same person may be considered for the award in the subsequent years too even if he / she has won the award earlier, provided a different paper is presented subsequently.

Guidelines for Chairman, Co-Chairman, Convener, Moderator and Judges

Time Management

Time is your MOST IMPORTANT responsibility. Please START the session on time. CONCLUDING the session on time is even more important so as not to impinge upon the next session. Also ensure that your session does not spill over
into the changeover time between sessions. This time must be utilized only for the next session Chairpersons to settle down.

Conflict of Interest

It is absolutely mandatory that in any competitive session where you are the judge and you feel there may be conflict of interest because one of the presentations is by you/your associate/your family member/your institute please
inform the ChairpersonScientific Committee immediately on receiving the information about the session, so that alternative arrangements could be made & you could be assigned a different session

Other Guidelines

• Once submitted & accepted no change in authors or topics is allowed in any of the sessions.

• Certificates for presenters of Free papers will be available on their Dashboard.

• Certificate for Best Paper for all sessions will be given in Valedictory function at 2 pm on Third day.

• Do not allow change in the order of the presentation unless you feel it is absolutely justified.

• Kindly indicate the Paper and Presenter’s name in the marking sheet

• The Presenting Author’s TNOA membership to be checked before the presentation.

• If the presenting author is a non-member of TNOA, DO NOT EVALUATE that particular paper/e-poster/video for any AWARD. Hence, before announcing the result, please ascertain the presenting author’s TNOA membership.

• Indicate your marks in the given mark sheet for 100 marks. Marks are for Content, KK Presentation, Slides & Originality (25 marks each).

• At the end of session, please calculate the total marks of each paper and the highest mark will be the BEST PAPER OF THE SESSION.

• Please indicate the BEST PAPER in the mark sheet clearly and also announce the same at the end of the session. ENSURE THAT THERE ARE NO ERRORS IN CALCULATIONS OR PROCEDURE FOLLOWED.

• The result announced is subject to ratification by the Scientific Committee office.

• Switch off your mobile phone and also don’t go out of the hall during the session. Kindly concentrate on each presentation so that justice will be done.

• Don’t consult the marks with other judges. We want your individual evaluation.

• Please mark whether all the Free papers were presented.

• If there are any absentees ( including the judges), please indicate in the mark sheet clearly as “ABSENT” without fail.

• Write your name in Capital letters with mobile number in the marks sheet and apply your signature.

CERTIFICATES

Guidelines for TNOA Prof. E.T. Selvam Endowment Quiz Award

Prof. E.T. Selvam Endowment Quiz Award for the best team in Ophthalmic Quiz, to be given annually and conducted during the TNOA conference. Only post graduate students of ophthalmology studying in Institutions in Tamil Nadu and
Pondicherry are allowed to participate. (one team per institution) The Name, TNOA number, Name of the Institute, Koveye 2022 registration number and e-mail id of the Team Head must be provided. Each team will consist of TWO
members, representing the Institution and both the team members must be members of TNOA or must have enrolled as Life Members on or before June 30th 2022 (Candidates should not have appeared for the final year theory exam) IN
BOLD PLZ The decision of the Chairman Scientific Committee will be final.

Ophthalmic Photography Competition Guidelines

1. Participants should be a member of TNOA.

2. If the author is not a member or not enrolled as a Life Member of the TNOA on (or) before JUNE 30th, 2022, that photography will not be considered for any award.

3. *Original, high quality (with at least 300 dpi resolution) images (JPEG or TIFF) are desirable for all submissions.

4. No software edited (Android filters, Photoshop, Picasa etc.) photographs are allowed for submission except for composite photography (original photos should not be edited).

5. Photograph can be taken by Mobile phone, DSLR camera, Slit lamp attached camera, Fundus camera, OCT and other ocular instruments & equipments.

6. Institution / hospital affiliation and doctor’s name in the title or abstract should not be mentioned and will lead to automatic rejection.

7. A brief description of photograph, with about 50-100 words, need to submit along with photograph.

8. At any point, should it be determined that a given photograph is previously reported/published, this will lead to disqualification.

9. Participants are limited to on two submissions of different photograph under each category

10. Competition submissions must not include any endorsements of products or services, or any obscene, violent, racist, religious intolerance or defamatory content.

11. Incomplete entries or entries that do not comply with the formal specifications will be automatically disqualified.
